Summary:

To add a picture in PerformSmart:

  • Log in as a Power User or HR Manager
  • Click the Employee Tab
  • Select an Employee
  • Click the Browse Button
  • Locate the Employee Picture on your Computer.

NOTE: Picture must have a file type of .jpg or .png with a size of 145 pixels x 185 pixels

  • Click Open
  • Click Import

Summary:

To complete an Appraiser Review

Navigation

  • Go to the Performance tab and click on the Reviews button.
  • To access direct report’s reviews, click on the Team tab.
  • Click on the icon in the Appraiser column next to the employee’s name.

Appraiser Review

  • Add Ratings and Comments
  • In the Reviews Tool Box, under Manage Review, click on each section of the review.
  • In the sections that need to be rated, select the appropriate rating and add supporting comments.
  • Check spelling and save as needed.

Print a Copy

  • Click on the icon to print a copy of your appraiser review.

Submit Review

  • Click on the icon to save and submit the review.

The endorser, if required, verifies the review for completeness and alignment and then approves electronically.

Summary:

To complete an Employee Review

Navigation

  • Go to the Performance tab and click on the Reviews button.
  • To begin the self-review, click on the Me tab.
  • Click on the icon in the Employee column.

Employee Self Review

  • Add Ratings and Comments
  • In the Reviews Tool Box, under Manage Review, click on each section of the review. In the sections that need to be rated, select the appropriate rating and add supporting comments.

Print a Copy

  • Click on the icon to print a copy of your self-review.

Submit for Appraiser’s Review

  • In the Reviews Tool Box, under Manage Review, click on each section of the review. In the sections that need to be rated, select the appropriate rating and add supporting comments. Check spelling and save as needed.

Navigation

  • Click on the goal name to edit the information as needed.

  • In the Manage Goals Tool Box, click on the icon to create a new goal or click on the button to copy an existing goal.
  • Using the drop down list, select the appropriate employee.

  • Enter or edit the Goal Name, Goal Start Date, Goal End Date, and other information as needed.

Navigation

  • Go to the Performance tab and click on the Manage Log Events button.
  • To access personal log events, click on the Me tab.

Manage Log Events – Employee

Edit Existing Log Event

  • Click on the log event name to edit the information as needed.

Enter Log Events Information

  • In the Manage Log Events Tool Box, click on the icon to create a new log event. Enter the Event Name, Event Date, and other information as needed.

Manage Log Events – Managers

  • Go to the Performance tab and click on the Manage Log Events button.
  • To access direct report’s log events, click on the Team tab.

Edit Existing Log Event

  • Click on the log event name to edit the information as needed.

Enter New Log Event for the Employee

  • In the Manage Log Events Tool Box, click on the icon to create a new log event.
  • Using the drop down list, select the appropriate employee.

Enter or Edit Log Event Information

  • In the Manage Log Events Tool Box, click on the icon to create a new log event. Enter the Event Name, Event Date, and other information as needed.

Note: In the Manage Log Events Tool Box, click on the icon to create a new log event. Enter the Event Name, Event Date, and other information as needed.

Summary:

To add an employee in Licensing

  • Click the Employees tab
  • Click the plus + symbol in the Tool Box area
  • Add all the required employee information

Note: Any field with a * symbol is a required field

  • After entering all the required information click the disk icon to save in Tool Box
  • Select Licensing in the upper right corner under the Welcome, (Your Name) area
  • In Licensing select Search and Add Users
  • Use the Search Employee area to find the employee just added or select the box of the employee name in the list below the Licensing Role Area
  • Select the appropriate Licensing Role and check both the Performance Management and Employee Self Service boxes under License Type
  • Click the Save button when finished.

You can also add an employee in Licensing by:

  • Go to the Licensing Module
  • Select Add User
  • Enter all required employee information
  • Under License Type select Performance Management and Employee Self Service
  • Click Save
  • Click HR Modules in the upper right corner under Welcome, (Your Name)
  • Click Employees
  • Click the Search User list option to add the user
  • In User Search type the users name
  • Select the User and click + Add Employee
  • You will now need to enter all of the required employee information and save once finished

Summary:

To print a Performance Review:

  • Click Performance>Reviews
  • Select the Me>Team>or All Employees tab
  • Click the option under either Employee, Appraiser, or Endorser Column
  • Click the print option in the Tool Box area to print the entire review.
  • Note: If you would like to print both the employee and appraiser comments you will need to print from the appraiser review

Summary:

Adding an employee to a review that is already kicked off

  • Click Performance>Review Cycle Management
  • Click on the review in the Review Period Name column
  • Select Employee Addition from the Tool Box
  • Enter the desired criteria to add the employee and click Search
  • Select the employee(s)
  • Click Save in the Tool Box

Summary:

Changing an appraiser in an in-progress review

  • Click Performance>Review Cycle Management
  • Click on the review in the Review Period Name column
  • Click Appraiser Update in Tool Box
  • Search for the appraiser to update
  • Select the name of the appraiser to update and click Next
  • Search for the new appraiser to update
  • Select the name of the new appraiser and click Next
  • Deselect employees to exclude from the appraiser update
  • Click save in the Tool Box

Summary:

Moving a review in Workflow Steps

  • Click Performance>Review Cycle Management
  • Select the review in Review Cycle Management
  • Click Workflow Steps in Tool Box
  • Select the employee(s)
  • Select the Current Review Workflow Step(s) that the reviews are in and select the New Review Workflow Step for review to proceed to
  • Select the New Review Workflow Step for the review(s) to proceed to
  • Click Save in the Tool Box

Summary:

Power Users have the ability to close out reviews.

  • Click Performance>Review Cycle Management
  • Click the review in Review Period Name
  • Select the employee(s) for the reviews you would like to close out
  • Select the Current Review Workflow Step(s) that the reviews are in and select Closed in the New Review Workflow Step to close out the review(s)

Note: Closing a review closes it so that it cannot be re-opened. Make sure all reviews are complete before choosing to close out a review.

Issue:

The most common cause of this error is a missing Alt. Employee ID within the PerformSmart application.

Resolution:

To add of confirm that the Alt. Employee ID is entered correctly:

  • Log into PerformSmart as a Power User
  • Click the Employee’s Tab
  • Click on an Employee’s Name
  • Click the Personal Section
  • Confirm or Enter an Alt. Employee ID.

NOTE: The Alt. Employee ID is based on the Employee ID found in AIMS.

Issue:

The reason for this error is that an employee may not have a supervisor or a template assigned.

Resolution:

  • Click Home
  • In Action and Notification List there will be a message stating why the review did not successfully kick off.
  • Click on the error for the reason it states the review did not kick off
  • Make the necessary changes and then kick off the review again in Performance>Review Cycle Management]

Issue:

The reason for this error is that the user does not have an Employee Self Service and/or a Performance Management license assigned.

Resolution:

  • Go to the Licensing Module
  • Select the user in Manage Users
  • Click on the User
  • Make sure Performance Management and Employee Self Service are both checked under License Type

Summary:

Creating a job description

  • Click Description
  • Click the add symbol in Tool Box
  • Enter the Job Code, Job Title, and Job Duties. You also have the ability of choosing a job in the Master List. Browse the categories and choose the desired job description. Once selected you can enter a different name in the Substitute Name field.
  • Click the Save icon in Tool Box

Note: Job description must be entered before entering employees in the PerformSmart system.

Issue:

I have several employees that are unable to see any of their goals in the current goals category.

Resolution:

The most common cause of not seeing goals in a review is that the goals were most likely entered after the review kicked off. You will need to either remove an employee from the review and then re-add them back into the review or have the employee enter goals while in the review using the Add Goal to Review option.
